Our NEW! medical office is looking for a full time receptionist.  Do you have experience in customer service?  Are you friendly, timely, organized, and have great attention to detail?  Do you want to love your job and the people you work with?  This could be a great opportunity for you.

Job Summary:​​​

  • Able to read, write and communicate effectively in English.

  • Have general math skills

  • Familiarity with standard office equipment: receptionist style phones, printers, fax machines, scanners, computers, credit card machines, digital cameras, electronic signature pads, tablets etc...

  • Strong organizational skills

  • Above average typing skills

  • ​Good problem solving skills

  • Proficient with computers and ability to learn new software programs / Apps quickly

  • Familiarity with Microsoft Office and Windows based applications

  • The ability to recall faces and names

  • The utmost respect and accountability for patient privacy, cyber security and confidential information in regards to HIPAA (Health Insurance Portability & Accountability Act) Compliance

  • Able to take direction and perform assigned tasks effectively and efficiently

  • ​Ability to assist in a variety of common office procedures and demonstrate good computer skills

  • ​Ability to establish and maintain effective working relationships with patients, medical staff, coworkers and providers

  • Uses Electronic Medical Record (EMR) and Practice Management (PM) system, efficiently and effectively

Responsibilities & Duties Include: (but are not limited to)

  • Welcoming patients by greeting them, in person or on the telephone; answering or referring inquiries.

  • ​​Able to operate telephone system, computers, online systems and emails to: answer, screen and forward calls, provide information, take messages, and schedule referral appointments.

  • Clerical work

  • Prepare charts for appointments

  • Check patients in and out

  • Balance money collected during shift

  • Verify insurance information and benefit coverage

  • Collect co-pays and/or payment toward account balances at the time of service.

  • Determine the financial status of patients and their eligibility for health services

  • Scheduling, rescheduling and booking appointments.

  • Actively monitoring schedule to fill spots that have been canceled or rescheduled by patients and track "walk-outs."

  • Sending out appointment reminders

  • Keep patient wait time to a minimum and improve work flow by notifying medical assistant/physicians of patients’ arrival; reviewing patient delivery compared to schedule; reminding medical assistant of patient delays.

  • Oversees TV control in waiting area and ensures that the material is family friendly

  • Notifies immediate supervisor of any major patient complaints

  • Keeps front desk and reception area clean

  • Maintain office supplies and inventory and advises immediate supervisor of shortages

  • Speak with companies and vendors to find resolutions to issues pertaining to technology & equipment, billing, work flow, maintenance and repairs.

  • Comfort patients by anticipating patients’ anxieties

  • Assisting patient's with filling out forms, navigating the office and answering their questions.

  • Assisting doctors with the day to day issues that come with running a medical practice.

  • Helps patients in distress by responding to emergencies by notifying doctors and staff

  • Website / Social Media updates

Qualifications and Skills:

  • Stand/sit for extended periods of time; push, pull and reach; occasionally bend, stoop and stretch

  • Have full range of motion, including handling and lifting of patients

  • Have the hand eye coordination and manual dexterity needed to operate keyboard, photocopier, telephone, calculator, etc.

  • Have normal range of hearing and eyesight to record, prepare and communicate reports; specific vision requirements: close vision, distance vision, color vision, peripheral vision, depth perception and the ability to focus

  • Occasionally lift and carry up to 10 pounds

  • Occasionally relocate to other jobs or office locations

Job Type: Full-time

​

Typical Hours:

  • Mon-Thursday (8:00 am - 5:00 pm)

  • Friday  (8:00 am - 12:30 pm)

  • No weekends

​

Salary: commiserate with experience

​

Experience:

  • Customer Service and/or Receptionist: 1 year (Preferred)

  • Medical office: 1 year (Preferred)

​

Education:

  • High school or equivalent (Required)

​
